Automate reports, save development time


In 2016, Daniel Schmid, the Integrated Services IT team leader at Insel Group, a Swiss healthcare company, decided to replace the workflow solution for SAP-based document generation that was in use at the time.
The task was clear: The costly and development-intensive creation of documents was to be replaced by a flexible, easy-to-learn and yet powerful solution.
Hundreds of thousands of complex documents
The need for this was great within the company. With a company size of over 10,000 employees and annual care of over 500,000 patients, hundreds of thousands of complex documents are necessary. Daniel Schmid explains that many of these documents are based on processes from SAP and other systems.
For example, for generating letters to cost units, documents for archiving, supplier assessments for ICT ordering processes, or documents based on project information.
Seamless SAP integration
In search of a solution that would enable the company to implement lean processes, relieve the IT department and help employees focus on their core competencies, Schmid came across Dox42.
Among other things, the ability to generate powerful reports with data from our SAP and the other relevant systems without development and with little training was a key factor in the decision.
Some time later, the Insel Group created more than 200,000 complex documents annually based on this solution. Since the introduction of the tool, which can be seamlessly integrated into the SAP system like a software module, a lot has happened at the Insel Group.
In the past, the generation of an ERP report required hours of programming; today, a report template is created within a very short time - and this is done by the specialist department in Microsoft Word. The IT department then only takes care of the data connection with Dox42.
Customize design requirements yourself
The Integrated Services IT team leader says:
"Previously, everything had to be done by the development department. Adjustments to the layout could only be made by them, which was often a conflict of priorities with the specialist department."
By using the new solution, the business users of the Insel Group can adapt their design requirements themselves. This increases efficiency, because the requirements for an ERP-supported report are best known to those employees who work with it themselves.
Planned: Use in patient management
Several hundred thousand documents created later, the impact of the solution in the company is clearly noticeable. Users have quickly accepted, learned and actively used the document generation tool.
Currently, 21 different document types are generated with it. In the future, the use of Dox42 is to be expanded even further; for example, for the creation of patient management documents.
